Main duties and responsibilities

  • Provide general office administration and support to the allocated team.
  • Handle enquiries, telephone calls and correspondence.
  • Schedule appointments and maintain calendars.
  • Organise meetings, book rooms and coordinate conference facilities.
  • Take meeting minutes and distribute notes where required.
  • Arrange travel and accommodation bookings.
  • Prepare, type and distribute documents, letters and reports.
  • Maintain electronic and hard-copy filing systems.
  • Organise, store and retrieve documents and records.
  • Capture, update and maintain information in standardised formats.
  • Compile and support management reports using internal and external information sources.
  • Complete forms according to company procedures.
  • Assist with photocopying, printing and document distribution.
  • Maintain stationery and office equipment supplies.
  • Monitor departmental expenditure records and assist with invoicing where required.
  • Welcome visitors, clients and staff and direct enquiries appropriately.
  • Liaise with internal departments and external contacts.

Minimum requirements

  • Grade 12 / Matric or N3 Certificate with English.
  • At least 1 year relevant administrative experience.
  • Experience in office administration and support functions.
  • Ability to manage records, documents and information accurately.
  • Good communication skills.
  • Ability to work with internal and external stakeholders.
